Introducing Secure Data Rooms

We’ve added Secure Data Rooms to Pivott.

If you’ve ever had to share contracts for a property, you know how manual the process can be. Files get downloaded, organized, renamed, and sent across email or file-sharing tools. It works, but it takes time and it’s easy to miss something along the way.

Secure Data Rooms simplify that process by replacing all of that with a single link.

A simpler way to share contracts

Instead of sending files manually, you can now generate a secure link that gives access to a structured set of contracts and documents.

Select the contracts you want to share, create a link, and Pivott organizes everything automatically. Contracts, attachments, and related files stay grouped together, so nothing gets separated or overlooked.

Example of a shared data room with contracts, files, and key details

On the receiving side, the experience is straightforward. The link opens a clean page where contracts are listed alongside their files and key details. Recipients can review everything in one place and download individual files or the full set.

There’s no need to explain how things are organized or send follow-up files. The structure is already there.

What recipients see in a data room

Each data room is designed to give external stakeholders everything they need without additional context.

That includes:

  • A list of shared contracts
  • All files and attachments grouped by contract
  • Key details like vendor names, dates, and clauses
  • Options to download individual files or everything at once
Contracts and attachments are grouped automatically

This makes it easier to review contracts quickly, especially during time-sensitive workflows.

Built for real workflows like due diligence and dispositions

Data rooms are most useful when contracts need to be shared externally in a way that’s complete and easy to navigate.

This often comes up during:

  • property transitions
  • due diligence
  • dispositions
  • vendor and document reviews

In these situations, the challenge isn’t just access to contracts—it’s presenting them in a way that makes sense to someone else. Data rooms help remove that friction by keeping everything structured from the start.

Control access without extra steps

Sharing contracts externally often raises concerns about access and visibility. Data rooms are designed to keep it simple.

You can:

  • Set expiration dates for each share
  • Track views and downloads
  • Remove access at any time
Manage access, expiration, and activity from one place

Recipients don’t need a Pivott account to access a data room. If they have the link, they can view the documents.

What is a data room? (quick overview)

A data room is a secure way to share documents with external parties through a single link.

Instead of sending files individually, you provide access to a structured page that contains all relevant documents, along with the context needed to understand them.

While data rooms are often associated with due diligence or transactions, they’re increasingly used in day-to-day workflows like contract management.
