Pivott offers limited-scope, time-bound pilot projects so that you can validate our software and services.  To ensure that mutual expectations are well understood, this document highlights our commitments to each other.

Customer Responsibilities

  • Designate a point of contact(s) and product champion. 
  • Provision a data-set or sample of vendors/contracts/properties
  • Participate in Pivott product training. 
  • Ensure use of Pivott and testing (as needed) throughout the pilot period.
  • Share your feedback, ideas as well as issues/fixes reporting.

  1. Why a Pilot

A pilot is a way for you to test Pivott software, risk-free in a controlled live environment. Our team will support you throughout the duration of the pilot, and you will have several opportunities to share ideas, feedback and ultimately shape the product. 

  1. How long is the pilot?

Depending on the number of properties, vendors, contracts, and colleagues that are involved, we will craft a timeline proportional to your needs.

  1. How much of my time and what is expected? 

We will structure the pilot and communications in a way that works best for you and your team, and is minimally disruptive to your workday. Additionally, if needed and only with a client’s consent, a Pivott team member may request an onsite visit to gain a deeper understanding of how the pilot is progressing. 

  1. What specific features will I have access to?

  1. How much vendor and contract data is required? 

The goal is to have enough data (but not too much!) to get a real life understanding of how Pivott functions and helps you manage your vendors and contracts, and to ultimately ensure that it works in the way you expect. 

  1. How will you use and protect my data? 

We understand the importance of protecting your proprietary data. As such, we only store data in secure systems with world class data encryption, such as AWS. All sensitive data is encrypted both in transit and at rest. 

Data and security is a top priority and we will be following industry best practices and standards as we build the product. 

  1. Will I have to format my data? 

Generally speaking, you can send us any data in any format.  Better still, the Pivott support team will provide a template for the preferred format, but our team will work with you to normalize and organize the data for your pilot. 

  1. How long does onboarding take?

The Pivott support team will provide an estimate for the onboarding phase during planning, however notwithstanding any unforeseen obstacles, we will do our best to get pilot onboarding done as quickly as possible. For ease of onboarding, Pivott’s team does all manual labor for you; You only need to provide data in a format of your choice.

  1. Can I quit the pilot at any time? 

Yes. Either party may exit the Pilot program for any reason.
